Packaging Documentation Administrator required in large company. Athenry, Co. Galway.

The Packaging Documentation Administrator will provide essential administrative and operational support to the Product management team, ensuring the smooth execution of processes, packaging development, artwork management, and project execution. This role is essential to maintaining accuracy, compliance, and efficiency across all artwork packaging processes that support successful product launches and lifecycle management.

Working closely with the Wellness and Nutrition Brands in product management, as well as cross-functional teams such as Regulatory, Quality, and Supply Chain, the Packaging Documentation Administrator will assist in packaging project coordination, artwork approvals, documentation control, and vendor communication. The role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced global environment.

This individual will report directly to the Assistant Brand Manager.

 

Responsibilities :

Packaging Operations & Administrative Support

  • Serve as the primary administrative and project support for all packaging-related activities within the Wellness and Nutrition categories.
  • Coordinate packaging artwork creation, reviews, and approvals through the Quality Management System (QMS) and other relevant platforms.
  • Maintain up-to-date packaging documentation, including specifications, and version control records.
  • Ensure packaging processes adhere to brand guidelines, regulatory requirements, and regional compliance standards.
  • Organize, track, and execute product packaging projects to ensure efficient workflows, timelines and deliverables are met.
  • Support the ongoing maintenance of Standard Operating Procedures (SOPs) related to packaging and product management.
  • Coordinate cross-functional communication and collaboration between global marketing teams.
  • Perform general administrative duties to support product management and packaging team.

Project Coordination & Data Management

  • Assist with packaging project timelines, task management and reporting, ensuring key milestones are delivered on schedule.
  • Manage version control, file organization, and documentation in product and marketing systems.
  • Support the management of product claims, testimonials, and product assets where needed.
  • Keep up-to-date with market trends, regulatory requirements, and product knowledge.
  • Track packaging artwork metrics and provide insights into workflow performance and improvements.

Communications & Stakeholder Support

  • Act as the key point of contact for packaging-related administrative queries and communication.
  • Liaise with external packaging suppliers, design agencies, and internal stakeholders to facilitate smooth communication and approvals.
  • Manage packaging and product communication channels and ensure timely dissemination of updates to relevant teams.
  • Support translation coordination for packaging copy when required.
  • Assist with packaging training and onboarding materials for new team members globally.
  • Manage team email inboxes and internal communication channels.

General Administrative Tasks & Ad-Hoc Support

  • Provide day-to-day administrative assistance to the Packaging and Product teams.
  • Assist with preparing presentations, artwork status reports, and packaging overviews.
  • Maintain records of packaging claims, certifications, and compliance documentation.
  • Help manage artwork change logs and version histories.
  • Perform other duties as required to support the broader Packaging and Product Management functions.

Requirements:

  • Minimum 2 years of administrative or coordination experience in a busy office or marketing environment.
  • Strong organizational, multitasking, and time management skills.
  • Excellent computer literacy (MS Office – Word, Excel, PowerPoint).
  • Strong communication skills and attention to detail.
  • Ability to work both independently and collaboratively across teams.
  • Experience using project management or workflow tools (e.g. Smartsheet, Asana, Trello) an advantage but not essential.
  • Packaging experience desirable but not essential – full training will be provided.
  • Interest in product development, marketing, or packaging coordination a plus.
