The Job:
We are seeking an experienced, highly organised, and proactive Senior Office Administrator to oversee the smooth and efficient running of Head Office in Mullingar. This is a key role within the business, supporting senior leadership and ensuring our office operates to the highest professional standard.
Key Responsibilities
- Ensure the day‑to‑day operations of the office run efficiently, maintaining a structured and productive environment.
- Develop, implement, and refine office systems, processes, and procedures to enhance efficiency.
- Serve as the primary point of contact for all office‑related queries and support needs.
- Manage relationships with suppliers, service providers, utilities, and building management.
- Monitor and manage office budgets, supplies, consumables, and general procurement.
- Oversee all facilities management activities related to office operations.
- Take responsibility for subcontractor administration and compliance documentation.
- Ensure company archiving practices meet contractual obligations and maintain document control protocols.
- Provide administrative support to Directors as required.
- Maintain and communicate Head Office Health & Safety policies and ensure ongoing compliance.
- Foster strong communication and coordination between Head Office and Site Teams.
- Coordinate internal meetings, support employee event planning, and assist with client hospitality.
Requirements:
- 5+ years’ experience in a senior administrative role.
- Experience in construction, engineering, manufacturing, or a related sector is highly desirable.
- Excellent communication and interpersonal skills.
- Highly organised with strong collaboration skills.
- Strong problem‑solving and decision‑making abilities.
- Proficient in MS Office Suite.
- Proven ability to manage office operations effectively.
- Calm, professional, and effective under pressure.
- Demonstrates initiative and the ability to anticipate needs and meet deadlines.
- Discreet and capable of handling confidential information.
- Positive, solutions‑focused, and a strong team player.
