We have an exciting opportunity for an Executive Administrator to join a multinational manufacturing company based in Ringaskiddy, Cork. This is a full-time, permanent position and will provide support to the management team and report directly to the General Manager.

Key Responsibilities:

  • Manage communications, schedules, and timely preparation/distribution of monthly and quarterly reports.
  • Maintain customer in/out notice boards and liaise with stakeholders to ensure accurate information.
  • Coordinate travel and accommodation for management, customers, and key stakeholders, manage on-site badging and registration.
  • Support meetings and events by arranging rooms, attendance tracking, catering, and require facilities (including IT coordination).
  • Attend management meetings as required to provide note-taking and record-keeping.
  • Prepare presentations, reports, spreadsheets, and other documentation for the leadership team.
  • Provide operational and financial support, including credit card reconciliations and expense claim reviews.
  • Act as a central point of contact for site leadership, supporting special projects and tracking information such as annual leave.

Requirements:

  • 3-5 years in a similar role with strong experience in administrative tasks.
  • A proven record in multitasking and maintaining an easily accessible record system.
  • Effective time management to prioritise and meet deadlines.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and accuracy in entering data.
  • Strong communication and interpersonal skills.
  • The ability to work effectively both independently and as part of a team.
