Our client is seeking a Grade III Cerical Officer Emergency Department at their Sligo Facility

Temporary 3 month contract initally | Shift work required

 

Overview

The post holder will be responsible for ensuring the smooth and efficient day-to-day operation of the Emergency Department (ED). Working both independently and as part of a multidisciplinary team, the role requires initiative, strong administrative abilities, and a professional, patient-focused approach.

 

Key Responsibilities

1. Administrative Support

  • Ensure the efficient day-to-day administration of the Emergency Department.
  • Plan, organise, and prioritise daily tasks, setting clear objectives for both self and department.
  • Perform general office duties including correspondence, post handling, scanning, faxing, photocopying, and filing.

2. Patient Management

  • Greet patients presenting to the Emergency Department in a professional, welcoming manner.
  • Register all patients accurately and promptly, remaining alert for red flags to be escalated to the triage nurse.
  • Generate and provide daily ED attendance reports for the consultant on duty.
  • File discharge letters for general practitioners each morning.
  • Verify patients’ medical card eligibility and update IPMS records accordingly.
  • Discharge patients and process admissions in real time to ensure accurate PET (Patient Experience Time) tracking.

3. Communication and Liaison

  • Communicate effectively with all relevant departments and multidisciplinary teams.
  • Log and prioritise all enquiries, telephone calls, and complaints, keeping management informed as necessary.
  • Collaborate with hospital functions to ensure coordinated service delivery.

4. Data Management

  • Maintain accurate and up-to-date patient data on the IPMS.
  • Uphold high standards of data quality, ensuring reliability in patient care delivery.
  • Scan ED notes into Adest promptly and accurately.
  • Manage chart requests and dispatches through the PDT system.
  • Compile and maintain activity data and reporting templates.
  • Provide monthly performance and activity reports as required.

5. Financial Transactions

  • Maximise departmental income by ensuring ED levies are collected from liable patients.
  • Issue receipts and invoices as appropriate.
  • Run end-of-shift cash control reports to ensure financial accountability.

6. Quality Assurance

  • Adhere to all quality standards, policies, and confidentiality requirements.
  • Utilise appropriate technologies to optimise efficiency and data management accuracy.

7. Support and Coverage

  • Provide administrative cover across services as required by management.
  • Handle all assignments professionally, discreetly, and confidentially.
  • Provide weekend and bank holiday cover, including clerical duties across the hospital.
  • Retrieve and dispatch charts for resus patients, Category 1 or Category 2 cases, and other admitted patients as necessary.

8. Switchboard Operations and Emergency Procedures

  • Be fully trained in frontline operations, including switchboard management.
  • Operate the hospital’s main switchboard and effectively transfer calls.
  • Execute emergency bleeps for cardiac, obstetric/gynaecological, trauma, and fire emergencies.
  • Manage admissions, ensuring patients are correctly admitted and removed from waiting lists.
  • Provide coverage for the Eligibility Officer role, assessing public and private patient status.
  • Stay informed and compliant with hospital emergency procedures and major incident protocols.

9. Reporting

  • Generate and submit all required ED attendance and performance reports promptly.

  • Excellent organisational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in relevant administrative and healthcare software (e.g., IPMS, Adest).
  • Ability to work effectively in a fast-paced, high-pressure environment.
  • Commitment to confidentiality, quality standards, and accuracy.
  • Training and competence in switchboard and emergency operations.
