My client is a leading player in the machinery and engineering services sector, committed to delivering best-in-class service support and operational excellence. As part of their continued growth, they are seeking to appoint a Service Administrator to support their service and warranty operations at their Kilbeggan site.
This is a key role that will support the smooth running of the workshop and ensure efficient communication between customers, technicians, suppliers, and internal stakeholders.
Responsibilities will include –
Service Administration
Manage daily creation, allocation, and closure of job cards across the service function
Coordinate workshop bookings and assist in scheduling service appointments
Ensure service documentation is completed accurately and in a timely manner
Liaise with customers and internal teams regarding service updates
Support the Service Delivery Manager with technician scheduling and resource planning
Raise and manage purchase orders in line with service-related activities
Warranty Administration
Assist in submitting warranty claims in line with manufacturer and internal procedures
Track the progress of claims and follow up on pending or rejected submissions
Collate and attach relevant supporting documentation including images and diagnostic reports
Maintain accurate records of claims, credit notes, and rejections
Update technicians and management on warranty claim outcomes and next steps
Reporting and Compliance
Contribute to workshop KPI reporting and performance analysis
Assist with adherence to health, safety, and environmental standards in administrative processes
Ensure all customer and vehicle records are maintained in compliance with GDPR and internal data policies
Requirements –
Previous experience in a workshop, service, parts, or warranty administrative role is highly desirable
Excellent attention to detail and data accuracy
Strong organisational and time management skills
Confident communicator with excellent verbal and written skills
Proficient in Microsoft Office applications (Excel, Word, Outlook) and ideally dealership management systems such as Kerridge, Autoline, or Keyloop
Capable of working independently and collaboratively within a team environment
A proactive, customer-focused approach with problem-solving capabilities
