Service Administrator

My client is a leading player in the machinery and engineering services sector, committed to delivering best-in-class service support and operational excellence. As part of their continued growth, they are seeking to appoint a Service Administrator to support their service and warranty operations at their Kilbeggan site.

This is a key role that will support the smooth running of the workshop and ensure efficient communication between customers, technicians, suppliers, and internal stakeholders.

Responsibilities will include –

Service Administration

  • Manage daily creation, allocation, and closure of job cards across the service function

  • Coordinate workshop bookings and assist in scheduling service appointments

  • Ensure service documentation is completed accurately and in a timely manner

  • Liaise with customers and internal teams regarding service updates

  • Support the Service Delivery Manager with technician scheduling and resource planning

  • Raise and manage purchase orders in line with service-related activities

Warranty Administration

  • Assist in submitting warranty claims in line with manufacturer and internal procedures

  • Track the progress of claims and follow up on pending or rejected submissions

  • Collate and attach relevant supporting documentation including images and diagnostic reports

  • Maintain accurate records of claims, credit notes, and rejections

  • Update technicians and management on warranty claim outcomes and next steps

Reporting and Compliance

  • Contribute to workshop KPI reporting and performance analysis

  • Assist with adherence to health, safety, and environmental standards in administrative processes

  • Ensure all customer and vehicle records are maintained in compliance with GDPR and internal data policies

Requirements –

  • Previous experience in a workshop, service, parts, or warranty administrative role is highly desirable

  • Excellent attention to detail and data accuracy

  • Strong organisational and time management skills

  • Confident communicator with excellent verbal and written skills

  • Proficient in Microsoft Office applications (Excel, Word, Outlook) and ideally dealership management systems such as Kerridge, Autoline, or Keyloop

  • Capable of working independently and collaboratively within a team environment

  • A proactive, customer-focused approach with problem-solving capabilities
