Position: Executive Assistant (supporting Director of External Manufacturing & VP of External Quality)

Contract: Initially until the end of 2026, wit potential of extension or permanent


We are seeking a highly professional and discreet Executive Assistant to provide comprehensive administrative support to both the Director of External Manufacturing and the Vice President of External Quality. This is a pivotal role requiring strong organisational skills, attention to detail, and the ability to work with senior stakeholders in a fast-paced environment.


Key Responsibilities

  • Diary & Calendar Management: Efficiently manage complex diaries, coordinate scheduling, and ensure alignment of priorities.
  • Travel & Expenses: Organise domestic and international travel arrangements, prepare detailed itineraries, and process travel and expense claims accurately.
  • Meeting Coordination: Arrange internal and external meetings, prepare agendas, record and distribute minutes, and follow up on action items.
  • Executive Presentations: Draft, edit, and prepare high-quality PowerPoint presentations and other executive-level materials.
  • Email & Correspondence Management: Monitor, prioritise, and manage incoming communications with professionalism and discretion.
  • Systems & Processes: Manage purchase orders and ensure accurate use of corporate and payroll systems.
  • Stakeholder Engagement: Act as a professional point of contact for internal and external senior stakeholders, handling sensitive information with confidentiality at all times.

Key Requirements

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
  • Strong organisational and time-management skills with the ability to prioritise and multitask effectively.
  • Excellent communication skills, both written and verbal, with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and experience with corporate systems (e.g., purchase order/payroll tools).
  • Ability to demonstrate discretion, confidentiality, and professionalism when handling sensitive matters.
  • Strong interpersonal skills with the ability to build trusted relationships across senior levels of the organisation.
