Logistics Administrator

The Job:

Join a global leader in medical technology, headquartered in Dublin, as a Logistics Administrator. In this pivotal role, you’ll help shape the backbone of the company’s logistics cost management—combining your analytical expertise with hands-on experience across freight forwarding and data systems. This 12-month contract offers a hybrid working model and the chance to collaborate with international teams across a dynamic logistics portfolio.


Key Responsibilities:

  • Develop and improve standard operating procedures (SOPs) for rate structure systems across the Global Logistics Portfolio.
  • Analyze supplier quotations and manage price components for transportation (Courier, Express Road, Air, Ocean, Rail) and contract logistics services.
  • Monitor and administer the duration and renewal of rate agreements with logistics suppliers.
  • Manage incoming invoices (PDF, CSV), validate their structure and data alignment, and ensure accurate charge codes and formatting. Re-upload and reconcile as required.
  • Investigate invoice mismatches and communicate directly with Logistics Service Providers (LSPs) to resolve issues.
  • Ensure timely invoice receipt each month and coordinate follow-ups with providers.
  • Record and process market-driven pricing for transportation services using internal ticketing and IT systems.
  • Build insightful analytics dashboards to track performance metrics like invoice timeliness and currency fluctuations, in collaboration with management.
  • Lead onboarding sessions and training for new service providers, ensuring a smooth integration into existing workflows.
  • Carry out ad-hoc quantitative analysis leveraging visual tools, algorithm development, and machine learning where applicable.

Requirements:

  • Bachelor’s degree in Logistics, Data Analytics, or a related field preferred, with several years of relevant experience.
  • Solid background in freight forwarding and logistics operations, complemented by strong analytical skills.
  • Advantageous: education in accounting with a focus on freight costs and logistics finance.
  • Deep understanding of rate structures and daily freight operations to inform settlement processes.
  • Experienced in managing master data for rate management using logistics cost tools or similar systems.
  • Skilled in Excel; familiarity with Power BI, Tableau, or comparable platforms is a plus.
  • Fluent in English (spoken and written).
  • Prior experience with SAP freight invoice approvals and third-party freight auditing is essential.
