Excellent Opportunity for a Senior Executive Assistant to work with a leading Pharmaceutical Company based in Dublin City Center, 12th-month contract.

Responsibilities :

·To provide professional proactive administrative support to Dublin Finance Team, Dublin Regulatory Snr Director, Dublin Medical Snr Director and Dublin Supply Chain Team.

·To co-ordinate travel for Dublin Finance Team, Irish Regulatory Team, including Athlone team members where requested, Dublin Supply Chain Team and the Dublin Snr Medical Director. And collaborating with other administrative colleagues where group travel is involved.

·To provide organisational support and management of diaries and schedules in particular for Dublin Finance VP and Dublin Regulatory Snr Director

· To facilitate effective organisation of meetings, conferences, etc. and associated activities (e.g. accommodation, travel) both on and off-site as required by relevant teams you support. This involves assisting with the co-ordination of key finance meetings throughout the year.

·To submit expenses on a monthly basis (Concur system) for Dublin Finance VP, Dublin Regulatory Snr Director, Dublin Snr Medical Director, and provide assistance where requested in support of other team members

·To assist with co-ordination of contract signatures

·To prepare timesheets and complete submission on SAP system

·To provide reception cover at morning opening and during receptionist holiday/sick leave and as required ad hoc by delivering a professional telephone/switchboard service, organising taxis, couriers and car park spaces for the office, ensuring the facilities of the office are run efficiently and liaise with facilities management company as required to ensure tasks are acted upon and completed

·To provide cover for other admins during holiday/sick leave

·To provide support during board weeks serving as a customer service role model, showing a positive attitude during these key weeks in the Dublin office calendar and to be flexible during board week

·To assist with the set-up of meeting rooms by providing administrative/IT support and catering set up as required

·To assist with special projects as required

·To facilitate arrangements for external visitors including those from overseas as necessary

·To handle sensitive and confidential documentation in a professional manner

·To organise events as required – team lunches, events, etc.

·To react promptly to resolve and deliver on ad hoc requests as required

·To collaborate with office staff and assist with office events


·Strong admin/support experience within a corporate environment

·Must be proficient with MS Office Suite (Outlook, Word, Excel, PowerPoint)

·Excellent problem solving, organisational and time keeping skills

·Experience handling multiple tasks and deadlines
