Office Manager

The Role:

Based in North Dublin our client, an International Medical Technology company setting up their first Irish site is seeking to hire an Office Manager to join their operations. The Office Manager will coordinate and provide administrative support in various administration, HR and finance functions for this new team, utilizing their strong administration, HR and accounts skills.

Key Responsibilities:

  • Manage personnel administration.

  • Maintain in-depth knowledge of legal requirements related to day-to-day management of employees and ensure the company adheres to legal standards.

  • Serve as an advisor on all payroll issues by working with external payroll agents.

  • Keep track of attendance and administer leave requests, disability claims, and worker’s compensation claims.

  • Monitor the performance management system and evaluation process to ensure reports are generated as scheduled.

  • Manage the entire recruitment cycle from sourcing to retirement.

  • Manage and supervise the usage of the company’s inventory and infrastructure.

  • Provide general supporting activities and services to allow employees to work comfortably.

  • Liaise with external auditors to monitor the flows of cash into and out of the organization and generate regular financial reports on a timely basis. Provide special reports when required.

  • Examine invoices and expense claims submitted and prepare payments.

  • Prepares the monthly Financial Statements (Balance Sheet / P&L) and related reports on time and with accuracy

  • Ensures the timely and accurate recording of assets, liabilities, revenues, and expenses in accordance with accounting standards in effect.

  • Managing financial activities including payments, invoices, expenses, and declare for taxes by working with the external accountant.

  • Provide management and other departments with relevant reports for decision-making and controlling expenditures, including monthly budget variance reports.

Requirements:

  • Bachelor’s degree or above (Human Resources, Finance, Business Administration, or related fields).

  • Experience in Human Resources (knowledge of Irish labor law)

  • Experience in Accounting (knowledge of tax and financial reporting standards)

  • Experience handling SAP ERP

  • Excellent communication skills, strategic thinking, and analytical skills.
