Executive Personal Assistant - West Cork

Our client is seeking a highly organised individual to join their team as an Executive Personal Assistant to the Chair/CEO. The successful candidate will provide administrative and diary support, and assist the wider team where required. They will organise travel, meetings, daily and weekly schedules, personal and company events.

This position is based in Skibbereen and will be on a 4-day week basis with flexibility.

Key Responsibilities (Full description available on request):

·       Handle all activities for the Chair’s office with discretion and confidentiality.

·       Use an acute attention to detail to ensure all schedules are correct and the Chair is kept up to date of amendments on a daily and weekly basis.

·       Provide the Chair with clear business information to assist in the ongoing management and decision making of the business.

·       Manage the Chair’s calendar by liaising with internal and external executives and assistants.

·       Co-ordinate a variety of complex and sometimes competing executive meetings and events.

·       Arrange all travel including visas, passport documentation, etc.

·       Manage, organise and update various forms of data using the most appropriate database applications.

·       Provide appropriate support to team members and continual contribute to team discussions.

·       Assist the budget process by working with the accountant as required:

o  Track purchase orders and invoice.                        

o  Ensure external invoices are logged and approved through the required channels.

·       Take ownership for personal development and work with the Chair and consultants to develop and implement a focused and straightforward Personal Development Plan.

Key Requirements:

·       Demonstrable PA experience at C-suite level.

·       Excellent Excel and Outlook skills (equipment will be provided).

·       Good command of MS Office applications.

·       Good prioritisation and organisational skills.

·       Must be a team player – willing to help and be flexible.

·       Comfortable working independently, working proactively and on own initiative.

·       Great attention to detail and accuracy.

·       Ability to work under pressure to tight deadlines.
