My client is a well established Multinational Architecture company based in Dublin 7. They are seeking to hire a Bid and Tender Coordinator on an initial 12 month FTC. There is potential opportunity for progression thereafter.

The Role

Primarily you will be responsible for overseeing bid submissions, tenders, and information management initiatives.

This is a varied and exciting role, in which you will engage with different principals, sector leads and directors to support on all stages of the Bid and Tender process. there will also be an element of marketing to the role, however your primary focus will be Bid and Tenders.

Key responsibilities:

  • Produce, format and upload bid and e-Tender documents, in collaboration with the designated Directors.
  • Manage the bid process, programme, and documentation, communicating with teams regarding requirements/deadlines etc.
  • Assist other teams with bid and submission information, as required.
  • Read and understand key bid deliverables and convey to relevant team members.
  • Collate and maintain sector/group/profession marketing information, including cv’s, project descriptions and images, ensuring it is regularly updated and easily accessible.
  • Liaise with the Marketing and Communications teams regarding new projects, project page updates, CV writing etc, creating content for the website, intranet and newsletters.
  • Manage relevant input and content in company's CRM and opportunities tracking system (Deltek)
  • Assist with the organisation of sector / studio events, either in-house or externally.
  • Interface professionally with clients and consultants.
  • Acting PA to studio Directors, coordinating travel arrangements, managing meeting and calendar schedules.

Essential Skills:

  • Excellent communication skills, especially written English, with an organised and methodical approach.
  • Ability to compile/format/proofread bid and submission documents, often to tight deadlines.
  • Proficient in all Microsoft Office applications (Word, Outlook, PowerPoint, Excel) and database management. A knowledge of InDesign would be beneficial though not essential.
  • Ideally previous experience in a similar role
