Office/HR Administrator

Reporting directly to the Senior Human Resource Business Partner, you will be responsible for providing employee support, facility/office management and HR administration.

 

Responsibilities:

  • Be the primary point of contact for employees queries relating to personnel administration, benefits schemes, internal processes, rules, regulations, policies and safety statements
  • Keep all personnel and recruitment files updated, compliant with European Data Protection legislation
  • Collect and prepare fixed and variable payroll data in an effective and efficient manner
  • Coordinate the processing of payroll with local payroll provider ensuring all legal requirements are adhered to
  • Proactively audit files and process updates to ensure accuracy with payroll, and compliance with tax regulations
  • Assist with the sourcing of candidates, scheduling of interviews and maintenance of the candidate tracking system
  • Conduct phone screening of potential candidates and exit interviews with leavers when necessary
  • Issue local employment contracts and addenda, enroll in local benefits and mandatory schemes, terminate payroll processes at the end of the employment contract with correct holiday calculations and documentation furnished
  • Coordinate office moves and participate in the onboarding process for new personnel and provide HR system training
  • Effectively monitor probationary periods, fixed term contracts and telecommuting agreements for renewals etc.
  • Support all employees around the performance review process, objective setting and yearend processes
  • Prepare and update HR dashboards providing analysis and relevant options to address any outliers
  • Update all necessary data on the corporate HR systems in a timely manner (e.g. Workday), ensuring organisation charts and cost centres are accurate
  • Complete and submit quarterly and annual reporting for government agencies e.g. CSO
  • Ensure all the personnel administration processes are in place, applied and updated when appropriate
  • Secure quotes from healthcare, pension, bike to work and eye care and providers and maintain good relationships
  • Develop office procedures and partner with HR to update and maintain office policies as necessary
  • Coordination across the HRBP team to manage  requests from Learning & Development in support of employee training initiatives and mentor assignments
  • Provide additional administrative support to the HRBP team as needed
  • Maintain building presentation and safety features including first aiders, fire marshals, fire wardens, safety equipment
  • Organise wellness programmes, onsite celebrations and other initiatives, including provisions for appropriate facilities, resources, refreshments and equipment to ensure well run events
  • Receive deliveries (ensuring a visitor log is maintained in accordance with ISO standards) and visitors, assisting with travel arrangements and itinerary planning. Act as first point of contact for building, safety and visitor queries
  • Review invoices for accuracy and match with delivery dockets in preparation for payment

 

Qualifications/ Requirements:

  • 2+ years’ experience in a role requiring co-ordination, prioritisation and attention to detail 
  • A degree in Human Resources/Accounting/Finance or other relevant qualification is desirable
  • Excellent communication skills and ability to foster strong working relationships with stakeholders and vendors
  • A self-starter who works with a sense of urgency; who takes pride in their work and has high accountability
  • An individual with unquestionable integrity, confidentiality and sound judgement who can work independently
  • Highly proficient with MS Office tools (Workday knowledge advantageous) and office equipment e.g. printers
  • Energetic individual with excellent time management and organisational skills. Must manage multiple priorities and deadlines effectively with attention to detail and follow through
